PRIVACY POLICY

Chapter PM App is an internal application provided by Hello Chapter LLC for use by Chapter Renovation employees, primarily Project Managers. This policy explains what information the app collects, how it is used, and the choices available to you.

Who this app is for

Chapter PM App requires a Chapter company account. It is not intended for, or available to, the general public. Your use of the app is also governed by Chapter's internal employment and IT policies.

Information we collect

Account information: Your name, company email address, and login credentials are used to authenticate you against Chapter's systems. Authentication tokens are stored securely on your device in the iOS Keychain.

Face ID: If you enable Face ID unlock, biometric authentication is performed entirely on your device by Apple's LocalAuthentication framework. The app never receives, stores, or transmits your biometric data — it only receives a success/failure result from iOS.

Voice recordings and notes: When you record a site note, the audio and its transcript are sent to Chapter's backend services, where AI processing converts them into structured site reports (work completed, issues, next steps, materials). Recordings, transcripts, and notes are associated with your account and the relevant project.

Photos: Photos you capture or upload are stored with the associated project and are visible to authorized Chapter team members.

Chat messages: Messages you send to the in-app AI assistant are processed by Chapter's backend services to generate responses. Chats are scoped to the project you have selected.

Project data: Tasks, timelines, documents, financial summaries, and activity you view or edit are synchronized with Chapter's project management systems.

Device and diagnostic data: We may collect basic technical information (device model, OS version, app version, crash logs) to keep the app reliable and secure.

How we use information

We use the information above solely to operate the app and Chapter's project management workflows: authenticating you, syncing project data, generating AI-assisted site reports and chat responses, and diagnosing technical issues. We do not use your data for advertising, and we do not sell personal information to anyone..

How information is shared

Your data is shared only with: (a) Chapter team members authorized to access the same projects; and (b) service providers that host or process data on Chapter's behalf (for example, cloud hosting and AI processing providers), under agreements that restrict their use of the data. We may also disclose information if required by law.

Data storage and security

Data is transmitted over encrypted connections (HTTPS/TLS). Authentication tokens are stored in the iOS Keychain. Access to project data is restricted to authenticated, authorized Chapter accounts.

Data retention

Account data, notes, photos, and project records are retained in accordance with Chapter's internal data retention policies and applicable law. When your employment or engagement with Chapter ends, your account access is revoked.

Your choices and rights

You may disable Face ID unlock at any time in the app's settings. Microphone and camera access can be managed in iOS Settings; disabling them limits voice notes and photo features. For questions about your data, or to request access, correction, or deletion, contact us at the address below. Depending on your location, you may have additional rights under applicable privacy laws.

Children

The app is intended for Chapter employees and is not directed at children under 16.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated to employees through Chapter's normal channels, and the effective date above will be updated.
